Job Purpose
As Senior Executive Associate, you will provide trusted executive, administrative and operational support to the PFP Director, helping to manage a demanding agenda, missions, correspondence, briefings and priority follow-up. Through effective coordination, budget monitoring and liaison across PFP and with key stakeholders, you will contribute to the smooth and responsive functioning of the Director’s Office. This role is crucial for ensuring the efficient operation of the Director's office, enabling them to focus on strategic priorities and high-level engagement. Your support will encompass communications, administrative tasks, operational coordination, budget oversight, and procurement assistance, all vital for the effective functioning of the Private Fund Raising and Partnerships division.
Responsibilities
Provide comprehensive executive and administrative support to the PFP Director, managing complex calendars, scheduling meetings, and coordinating travel arrangements. Serve as a key point of contact for internal and external stakeholders, facilitating effective communication and liaison. Monitor and track budgets, ensuring adherence to financial policies and procedures, and assist with procurement processes. Prepare and draft correspondence, briefing materials, presentations, and meeting minutes. Manage and organize high-level meetings, events, and missions, ensuring all logistical aspects are handled efficiently. Follow up on action items, deadlines, and key deliverables to ensure timely completion and support the Director's priorities. Maintain a high level of discretion and confidentiality in handling sensitive information. Coordinate with various departments and teams within UNICEF and with external partners to ensure smooth operations and information flow. Support the Director in managing day-to-day office operations, ensuring a professional and efficient working environment. Assist in the preparation of reports and other documentation as required.
Work Experience
A minimum of six (6) years of progressively responsible work experience in executive support, office administration and management, administration, or operational support roles, preferably supporting senior-level executives. Demonstrated experience providing direct support to senior-level management or executives, including complex calendar management, meeting coordination, travel planning, and day-to-day office administration, is required.
