Organizational Context
UN Women is dedicated to gender equality and the empowerment of women globally. The Strategy, Planning, Results and Effectiveness Division (SPRED) focuses on integrating corporate strategy and performance measurement to enhance decision-making and drive the implementation of UN Women’s Strategic Plan. The Strategic Planning Unit (SPU) within SPRED manages policies and systems for planning, monitoring, and reporting, aiming to improve data quality and transparency.
Job Purpose
The Operations Analyst, under the Chief of SPU, oversees all operational aspects of the Strategic Planning Unit (SPU), including financial and human resources, procurement, logistics, ICT, and common services, ensuring compliance with UN Women rules and regulations. The role supports programmatic functions by coordinating knowledge management, assisting with audits, and managing workplan planning, monitoring, and reporting using corporate systems. The Analyst also guides SPU program staff on operational matters and collaborates with relevant HQ divisions to ensure adherence to corporate policies.
Responsibilities
Coordinate SPU operations in line with UN Women regulations and policies, including drafting and implementing annual workplans, and overseeing budget, finance, HR, procurement, IT, security, and administration. Facilitate recruitment processes and contract management, act as HR/Leave Monitor, and support mandatory training completion. Arrange logistics and travel, provide administrative support for events, and organize operations-related learning sessions. Manage resource planning and expenditure tracking, ensuring proper financial controls and reporting using Quantum ERP. Oversee procurement processes and asset management, ensuring compliance and data integrity. Serve as the focal point for ICT and security issues, overseeing system implementation and ensuring compliance with UN and UN Women regulations. Provide coordination and technical support for workplan development, monitoring, reporting, and audits, and manage document and knowledge management systems.
Work Experience
Requires a minimum of 2 years of progressive experience in office management, operations, or budget/finance within a large international or corporate organization. Experience in programme/project management, using computer software packages (MS Word, Excel, PowerPoint), and handling web-based management systems is essential. Experience with ERP systems like Oracle Cloud, the UN system, and strategic planning/RBM is desirable.
