Organizational Context

The World Health Organization (WHO) Country Office in North Macedonia is implementing activities under the Pandemic Fund Project. This role supports the project's objective of strengthening health system resilience, advancing Universal Health Coverage (UHC), and enhancing health security. The Project Assistant will work under the direct supervision of Public Health Officers within the Country Office.

Job Purpose

The Project Assistant will provide essential administrative, logistical, and clerical support for the successful implementation of the Pandemic Fund Project in North Macedonia. This includes coordinating and managing project activities, organizing meetings and workshops, facilitating communication with national institutions and partners, and ensuring timely processing of procurement and travel. The role is crucial for the effective execution of the National One Health Surveillance Strategy and related health security initiatives, contributing to the overall strengthening of the country's health system resilience and preparedness.

Responsibilities

Provide comprehensive administrative and logistical support for project activities, including the National One Health Surveillance Strategy and TTX SiMex. Coordinate administrative communications with the Ministry of Health, Institute of Public Health, Veterinary Agency, Food and Veterinary Agency, Ministry of Agriculture, Environment, and other national institutions and partners. Support the planning, organization, and execution of technical meetings, workshops, consultations, and missions, including preparing agendas, invitations, participant lists, and minutes. Facilitate administrative coordination and follow-up on agreed actions with government institutions and implementing partners. Assist with procurement, travel arrangements, consultant administration, and other operational processes in compliance with WHO procedures. Maintain project documentation, filing systems, and activity trackers, and contribute to routine implementation and donor reporting. Provide administrative and coordination support for related WHO-supported activities strengthening health system resilience, UHC, and health security.

Work Experience

Essential: At least 3 years of relevant experience in the administrative field. Proven experience in administrative support functions, document management, and organizing meetings/workshops. Desirable: Relevant experience in the UN system or an international working environment.

Skills

Strong organizational, communication, and interpersonal skills. Ability to work independently and maintain confidentiality. Proficient in written and spoken English and Macedonian. Competencies include Teamwork, Respecting and promoting individual and cultural differences, Communication, Knowing and Managing Yourself, and Producing Results.
