Organizational Context
These positions are to be filled in country offices, regional bureaux, and Headquarters. Post holders report to the Human Resources Officer or their delegate. At this level, post holders are expected to take responsibility for carrying out a range of human resources activities that require a degree of interpretation of standard guidelines and practices. They may recommend a course of action within their area of responsibility and may be required to provide guidance to other staff.
Job Purpose
To perform a range of human resources tasks to support the accurate implementation of WFP policies and procedures and to facilitate the effective functioning of strategic, client-focused human resources services. This includes providing assistance with general HR queries, offering guidance and training to other staff on HR systems, liaising with other units on HR matters, and extracting and compiling HR data. The role also involves providing administrative support, maintaining confidential staff records, preparing HR documents, and utilizing HR management systems for data entry and tracking deadlines. Additionally, the position supports staff mobilization and deployment processes, contributing to WFP's timely and effective response to emergencies.
Responsibilities
The primary responsibilities involve providing comprehensive human resources support to ensure high-quality, consistent HR services. This includes assisting with general HR inquiries, offering guidance and training to staff on HR systems and procedures, and acting as a liaison with other departments on HR-related matters such as payroll and contracts. A key function is extracting and compiling HR data on recruitment, selection, contractual terms, and performance. Administrative support across various HR activities is also crucial, alongside maintaining confidential personnel files, HR databases, and archives to ensure data accuracy and compliance with established standards. The role requires drafting essential HR documents like employment contracts and transfer letters, ensuring accuracy and adherence to deadlines. Furthermore, utilizing HR management systems for data entry and updates, and assisting in tracking various deadlines such as contract expirations and performance reviews are vital. Support in staff mobilization and deployment, including managing associated administrative processes and preparing basic reports, contributes to effective emergency responses. The position requires a high school diploma, with a university degree in a related field being desirable, and several years of experience in HR support, personnel administration, contract management, and recruitment processes.
Work Experience
Requires a minimum of 3 to 5 years of work experience in supporting the Human Resources department. This includes experience in personnel administration, contract management, and maintaining HR files. Experience in recruitment processes, staff onboarding, and internal customer service is also needed.
