Job Purpose
The Management Services Officer will provide essential support to the Management Services portfolio, ensuring the delivery of high-quality, client-focused, and cost-effective services that enable WFP to achieve its mission of delivering food assistance. This role involves assisting in the strategic planning and resource allocation for management services, aligning with both country-specific and broader WFP strategies. A key responsibility will be to coordinate and manage the logistical, administrative, and operational aspects of office relocations, including planning, execution, and closure. The officer will contribute to needs assessments, business cases, and cost-benefit analyses for new office spaces, overseeing the setup and ensuring compliance with health, safety, and accessibility standards. Furthermore, the role requires maintaining stakeholder relationships, identifying operational efficiencies, and promoting environmental sustainability and staff capacity building within management services.
Responsibilities
The Management Services Officer role involves supporting the delivery of high-quality, client-focused services within WFP's Management Services portfolio, crucial for enabling food assistance to beneficiaries. Key responsibilities include assisting in the preparation of Country Strategic Planning and Resource Planning components, aligning them with WFP's strategies and policies for effective service delivery. A significant part of the role is to develop and coordinate a comprehensive office relocation plan, encompassing timelines, milestones, and responsibilities, while also supporting the needs assessment for the new office space, furniture, and utilities. This includes developing a business case, cost-benefit analysis, and accessibility assessment for the new location. The officer will oversee the complete setup of the new office, managing furniture and equipment installation, ensuring utilities are functional, coordinating workspace allocation, and verifying compliance with health, safety, and accessibility standards. Additionally, the role requires ensuring compliance with lease obligations, coordinating repairs and restoration, and managing final inspections. The officer will also collaborate with senior management on relocation strategy and budget, collate data for planning, identify resource requirements for operational efficiency, and maintain stakeholder relationships. Providing suggestions for improving Occupational Safety and Health services, supporting environmental sustainability initiatives, and assisting in organizing learning initiatives to build staff capacity in Management Services are also core duties. The role may also involve other assigned Management Services tasks.
Work Experience
Requires at least one year of postgraduate professional experience if holding an Advanced University degree. Alternatively, a First University degree necessitates a minimum of three years of postgraduate professional experience.
