Project Management Support Analyst
Organizational Context
The Bureau for External Relations and Advocacy (BERA) manages UNDP's external relations, advocacy, and communications. The Japan Unit within BERA oversees the partnership with the Government of Japan, a major contributor. This role supports the Unit's function of maintaining donor relations, ensuring accountability, and managing Japan-funded programmes.
Job Purpose
This role is crucial for managing and monitoring Japan-funded projects within UNDP, ensuring compliance with donor expectations and organizational standards. The Project Management Support Analyst will oversee project execution, financial monitoring, and reporting, contributing to the effective utilization of Japanese contributions. The position aims to enhance project management efficiency, minimize delays, and ensure accurate financial processing, thereby strengthening the partnership with the Government of Japan and supporting UNDP's broader development objectives. The role also involves preparing strategic briefing materials and fostering strong relationships with stakeholders.
Responsibilities
Key responsibilities include leading the project management and financial monitoring of Japan-funded projects, coordinating with various UNDP bureaus and centers. This involves overseeing fund transfers, financial status, and refunds to ensure donor compliance. The role requires managing and updating the Japan-funded projects database, coordinating the review of narrative and financial reports, and extension requests. A significant aspect is implementing strategies to minimize project delays and expedite the processing of returned unspent funds. Additionally, the analyst will analyze portfolio trends, prepare strategic briefing materials for senior management, and monitor project progress against results frameworks and established quality criteria. Establishing and maintaining strong partnerships with implementing partners, government officials, and other stakeholders is also essential, alongside facilitating knowledge sharing and documenting best practices.
Work Experience
A minimum of 2 years of progressively responsible experience in project management, sustainability strategy, or management consulting for international development with multi-stakeholder engagement is required for candidates with a Master's degree. Candidates with a Bachelor's degree require a minimum of 4 years of such experience.
Skills
Proficiency in database management and MS Office Suite. Familiarity with SharePoint and UNDP corporate systems. Experience in managing multi-country donor portfolios, coordinating across UN agencies and government stakeholders. Demonstrated experience in Japanese ODA, donor relations, and high-level policy engagement. Strong fund and portfolio management skills. Excellent research, analytical, and organizational abilities. Fluency in English is required; working knowledge of Japanese is desired.
