This role supports procurement services within the Business Unit, ensuring quality and accuracy through a client-centric approach. The Procurement Associate collaborates with Operations, Programme, and Project teams, and reports to the Operations Manager, with secondary reporting to the Regional Procurement Analyst/Specialist.
Job Purpose
The Procurement Associate supports UN Women's procurement services, ensuring high quality and accuracy to achieve best value for money and align with development goals. This role is crucial for integrating procurement strategically from the project design phase, encouraging innovation, and embracing sustainable practices. The Associate facilitates efficient, high-value, low-risk delivery by supporting procurement plans, preparing solicitations, and managing contracts. They also contribute to knowledge building and sharing within the Business Unit and collaborate with other UN agencies to leverage resources and best practices.
Responsibilities
The Procurement Associate is responsible for supporting the implementation of procurement strategies and policies, ensuring compliance with UN Women rules and regulations. This includes assisting in the development of Standard Operating Procedures and mapping business processes. The role involves organizing procurement processes for the Business Unit and projects, such as preparing and conducting RFQs, ITBs, and RFPs, and evaluating bids. Additionally, the Associate prepares Purchase Orders and contracts, and compiles submissions for procurement review committees. They also support the implementation of sourcing strategies, maintain supplier rosters, and stay informed about procurement developments within other UN agencies. Furthermore, the role contributes to procurement knowledge building and sharing by supporting training initiatives and compiling lessons learned.
Work Experience
A minimum of 6 years of relevant progressive experience in procurement is required with a high school diploma, or 4 years with a bachelor's degree. Experience in public sector procurement of goods and services at an international level or within UN Agencies is an asset. Proficiency in computer and office software packages (MS Word, Excel) and web-based management systems is required. Experience with an ERP system, preferably Oracle Cloud, is desirable.
