Budget Assistant
Organizational Context
This position is within the Budget Section of the Financial Resources Management Service at the United Nations Office on Drugs and Crime (UNODC) in Vienna. The Budget Assistant will report to the Chief of Unit, contributing to the financial management operations of the Division for Management.
Job Purpose
The Budget Assistant is responsible for supporting the Budget Section in financial resource management, specifically focusing on cost recovery processes and rate card calculations. This role involves obtaining workload statistics, verifying client submissions, calculating and processing cost recovery fees, and ensuring timely invoice issuance and arrears follow-up. The position also contributes to the maintenance and improvement of the cost manual, ensuring accurate and up-to-date financial information is available for UNOV DM services. The aim is to support efficient financial operations and accurate fee recovery.
Responsibilities
Key responsibilities include assisting in the collection of workload statistics from various services to support rate card calculations, ensuring timely submission of data. The role involves verifying client submissions and supporting documentation, clarifying issues with clients, and calculating cost recovery rate cards. The Budget Assistant will process cost recovery for UNOV DM services by calculating fees, issuing invoices, and ensuring timely recovery, while also following up on arrears. Additionally, the position supports the design and maintenance of the cost manual, ensuring approved rates are updated. Maintaining organized paper and electronic files and databases is also a core duty.
Work Experience
A minimum of three years of experience in finance or budget is required. This minimum is reduced to one year for candidates with a first-level university degree or higher. Proficiency in spreadsheet and word processing applications is necessary. Experience with enterprise resource planning (ERP) systems is required, and experience with SAP is desirable.
