Organizational Context
The ESCWA Technology Centre (ETC), part of the UN Secretariat, is preparing for the Arab SMEs Summit (ASMES) 2026. This role provides essential logistical, operational, and administrative support for ASMES 2026 and other ETC events, contributing to their successful planning and execution. The position is based in Amman, Jordan.
Job Purpose
The Project Coordinator will provide crucial logistical, operational, and administrative support for the planning and implementation of the Arab SMEs Summit (ASMES) 2026 and other events organized by the ESCWA Technology Centre (ETC). This role is vital for ensuring the smooth and professional execution of all ETC activities, including managing participant services, coordinating travel and accommodation, overseeing venue and exhibitor arrangements, facilitating registration and visa processes, and ensuring accessibility for all attendees. The objective is to contribute significantly to the overall success and impact of these regional events, fostering entrepreneurship and innovation across the Arab region.
Responsibilities
Coordinate all logistical and operational aspects for ASMES 2026 and other ETC events, including venue selection, catering, audiovisual services, interpretation, and signage. Manage participant registration, including invitations, confirmations, communications, and tracking. Oversee the preparation and distribution of participant badges and manage access control. Liaise with teams for participant travel, visa processing, local transportation, and accommodation arrangements, ensuring effective communication with participants and service providers. Provide administrative support for visa applications, tracking documentation, and communicating with stakeholders. Coordinate with exhibitors, partners, and stakeholders regarding booth allocation, setup, and operational support. Facilitate accessibility arrangements for participants with specific needs. Offer on-site event support, assist participants, coordinate with speakers and VIPs, troubleshoot issues, and maintain event records.
Work Experience
A minimum of 5 years of practical experience in project coordination, program administration, or management assistance is required. Demonstrated experience in supporting the planning and implementation of conferences, exhibitions, and events, including participant coordination, registration, travel arrangements, venue liaison, and logistical operations, is essential.
