Organizational Context
The UN Secretariat's reform aims to enhance the effectiveness of the UN Development System in achieving the 2030 Agenda and SDGs. UN Resident Coordinator Offices (UN RCOs), led by independent UN Resident Coordinators, support countries in reaching their development priorities. This Administrative Assistant role is within the UN RCO in Santo Domingo, Dominican Republic, reporting to the Head of the RCO.
Job Purpose
The Administrative Assistant provides essential support to the UN Resident Coordinator's Office (RCO) in Santo Domingo, Dominican Republic, contributing to the effective functioning of the UN Development System at the country level. This role is crucial for facilitating the RCO's mandate of supporting national development priorities and the Sustainable Development Goals (SDGs). The position involves managing a wide range of administrative, financial, and human resources functions, ensuring compliance with UN rules and procedures. The incumbent will assist in budget preparation, monitor expenditures, process personnel actions, manage contracts, and provide general administrative support, including potentially guiding junior staff. This role directly supports the UN Resident Coordinator and the Head of the RCO in their leadership and operational activities.
Responsibilities
The Administrative Assistant is responsible for comprehensive Human Resources Management, including initiating and processing recruitment, staff actions, and training, while ensuring adherence to UN rules. They will manage budget and finance tasks, assisting in proposal preparation, monitoring expenditures against budgets, and generating financial reports. General administration duties encompass drafting correspondence, coordinating with service units, managing travel programs, vendor payments, office space, and equipment maintenance. The role may involve supervising junior staff and assisting with data analysis and reporting for decision-making. Additionally, the Administrative Assistant will serve as the Office's security focal point. Contract administration includes managing day-to-day contracts with external service providers, auditing invoices, processing payments, and issuing necessary UN forms and permissions.
Work Experience
A minimum of seven years of progressive experience in administrative services, finance, accounting, audit, or human resources is required. Experience with an ERP system (e.g., Umoja), the UN, or a similar international organization is desirable. One or more years of experience in data analytics is also desirable.
