Organizational Context
The UN Secretariat's Resident Coordinator System (RCS) supports countries in achieving development priorities and SDGs through empowered UN Resident Coordinators. This role is within the UN Resident Coordination Office (RCO) in Kathmandu, Nepal, reporting to the Head of Office and RC, ensuring the efficient functioning of the RC's Front-Office.
Job Purpose
The Executive Assistant is crucial for the effective and efficient operation of the Resident Coordinator's (RC) Front-Office in Kathmandu, Nepal. This role directly supports the RC's mandate within the UN's global reform to achieve the 2030 Agenda and SDGs. Key responsibilities include managing the RC's schedule, logistical arrangements, protocol, information flow, and follow-up on commitments. The position ensures seamless communication support, handles sensitive information with discretion, and maintains strong relationships with stakeholders. The Executive Assistant also provides administrative support for HR matters and office operations, acting as a key facilitator for the RC's work and the RCO's overall effectiveness.
Responsibilities
Manage the Resident Coordinator's (RC) calendar, schedule appointments, and coordinate meetings, ensuring logistical details and protocol are handled. Prepare high-quality briefing materials and correspondence, including drafting official documents and providing translations. Oversee the RC's travel arrangements, missions, and follow-up on related reports and claims. Maintain contact lists of key partners and assist in organizing official events and high-level visits. Provide effective communication support by screening calls and correspondence, maintaining confidential filing systems, and coordinating meeting logistics. Support the RC with HR-related documentation, visas, and travel arrangements. Assist with day-to-day administrative tasks, including contract administration, budget, finance, and data analysis for reporting and information sharing.
Work Experience
A minimum of seven years of experience in administrative support, coordination, logistics, or front office functions is required. This is reduced to five years for candidates with a first-level university degree. Experience supporting senior officials, organizing meetings/events, and working with international organizations is desirable.
