The role of Project Assistant (Humanitarian Assistance) operates under the general supervision of the Emergency Coordinator and direct supervision of the Humanitarian Assistance Officer/Senior Assistant, supporting project planning, execution, and monitoring.

Job Purpose

The Project Assistant (Humanitarian Assistance) plays a crucial role in supporting the planning, execution, and monitoring of humanitarian projects within the IOM framework. This position ensures that project objectives, organizational policies, and donor requirements are met effectively. By collaborating with program and support units, the assistant contributes to the seamless delivery of assistance and services to migrants and vulnerable populations. The role involves meticulous data collection, summarization, and reporting, alongside budget monitoring and administrative coordination. Ultimately, the job purpose is to facilitate the successful implementation of IOM's mandate to promote humane and orderly migration, ensuring that all activities align with organizational standards and contribute to the well-being of those assisted.

Responsibilities

The Project Assistant (Humanitarian Assistance) is responsible for assisting in the implementation and monitoring of project activities, including collecting and summarizing project-specific data. This role involves monitoring project budgets, verifying fund availability, and obtaining necessary approvals. The assistant will support administrative coordination, liaising with internal units and external parties to process requests and authorizations. Key duties include drafting status reports to identify delivery gaps, preparing correspondence, reports, and other documentation, and organizing meetings and training sessions. The position also entails responding to information requests, maintaining records, and performing other assigned tasks to ensure efficient project operations and compliance.

Work Experience

Required experience includes engaging with governmental authorities, national/international institutions, UN agencies, and NGOs. Experience working with migrants, refugees, internally displaced persons, trafficking victims, and other vulnerable groups is essential. Prior experience with international humanitarian organizations or NGOs in a multicultural setting is advantageous. Experience in humanitarian and emergency response, particularly in areas like Shelter, WASH, and Cash-Based Interventions within Colombia's migration, conflict, or climate variability contexts, is also beneficial.

Skills

Excellent organizational, analytical, and creative thinking skills. Advanced proficiency in Microsoft 365 (Excel, Word, PowerPoint, Teams, SharePoint). Strong interpersonal, communication, and negotiation competencies. Knowledge of protection principles, project monitoring and evaluation, and financial regulations.
