Organizational Context

The International Organization for Migration (IOM), established in 1951, is a UN-related organization leading in migration matters. It collaborates with partners to promote humane and orderly migration, protect people on the move, and facilitate regular migration pathways. The Project Assistant role supports the Labour Mobility and Social Inclusion (LMI) Unit under the Chief of Mission in Sri Lanka.

Job Purpose

The Project Assistant plays a crucial role in supporting the implementation of projects within the Labour Mobility and Social Inclusion (LMI) Unit. This involves assisting in the day-to-day execution of project activities, ensuring they align with organizational goals. The position contributes to IOM's broader mandate of promoting humane and orderly migration by facilitating the effective delivery of LMI initiatives. The role requires meticulous attention to detail in administrative tasks, data compilation, and reporting, all of which are vital for the successful progress and monitoring of projects aimed at supporting migrants and addressing displacement.

Responsibilities

Key responsibilities include assisting in the implementation and monitoring of project activities, retrieving, compiling, and summarizing project-related data. The role involves monitoring budgets by verifying fund availability and updating financial information. It also entails providing administrative coordination for project implementation, liaising with internal and external parties, and processing administrative actions. The Project Assistant will draft status reports, identify delivery shortfalls, and prepare correspondence, reports, and presentations. Organizing meetings, workshops, and training sessions, responding to inquiries, and maintaining project files are also core duties. The position may involve other assigned relevant tasks.

Work Experience

Experience is required in project implementation, particularly in areas related to labour migration, skills development, ethical recruitment, and social development. The role also necessitates experience in organizing and facilitating meetings, workshops, and events, and in liaising with governmental authorities and international institutions. Prior experience working with vulnerable groups and in a multicultural setting with international organizations is advantageous.

Skills

Proficiency in communication and interpersonal skills. Strong administrative and organizational abilities, including task management, record-keeping, and meeting deadlines. Effective coordination skills for working with colleagues and stakeholders. Competence in preparing official correspondence, reports, and presentations. Familiarity with project management methodologies and best practices in the development/migration sector.
