Organizational Context

This role supports the Country Office in Greece, operating under the supervision of the Head of Resources Management and other senior staff, in coordination with the Regional Office in Brussels.

Job Purpose

This role provides essential support for the monitoring and reporting functions within the IOM Country Office in Greece. The incumbent will assist in financial analysis, budget monitoring, expense verification, and the accurate activation and revision of projects within IOM's ERP systems (WAVE and PRIMA). Key contributions include ensuring compliance with financial procedures, maintaining accurate records, and facilitating the correct allocation of expenses and staff costs across projects. This support is crucial for effective project management and financial oversight within the Country Office, contributing to the overall operational efficiency and accountability of IOM's migration-related activities in Greece.

Responsibilities

Regularly prepare financial analysis, monitoring, and risk reports, including commitments and staff cost allocation for Project Managers. Assist in activating and revising projects in ERP systems (WAVE and PRIMA), liaising with relevant administrative units. Record expenses in the WAVE system, ensuring compliance with financial rules and complete supporting documentation. Perform monthly clearing of unallocated expenses and maintain proper archives. Assist in the cost allocation of common office expenses and provide financial forecasts to supply management units. Prepare monthly cost allocations and projections for staff, coordinating with Project Managers and HR. Cooperate with HR to ensure correct staff salary allocation to projects. Perform other related duties as assigned.

Work Experience

Progressive experience in a similar budget and monitoring function is required. Experience working with international humanitarian organizations, non-governmental, or governmental institutions in a multicultural setting is considered an advantage. Flexibility for relocation to Athens and/or mobility for travel may be required.

Skills

Detail-oriented with a good track record. Proficient in Microsoft Office, particularly Excel. Experience with IOM accounting systems (PRISM-FI) and procedures is a distinct advantage. Comfortable learning new software and project reporting tools.
