Office Associate (Resource Management)
Organizational Context
The incumbent supports the Near East & North Africa Division (NEN) of IFAD's Department for Country Operations (DCO), which focuses on eradicating rural poverty and hunger by investing in rural people and advocating for policies that contribute to rural transformation. NEN leads the design and delivery of IFAD country and regional programmes in its area.
Job Purpose
To manage administrative services and workflows, including business support, resource management, planning, and office communications, ensuring efficient and high-quality operations for the divisional unit.
Responsibilities
Manage administrative services and workflows; provide business and executive support to the AVP or Director, including calendar management, travel arrangements, and drafting correspondence; manage resource planning and budget administration, including monitoring, forecasting, and procurement of goods and services; coordinate divisional outputs and activities, ensuring timely submissions and adherence to corporate standards; manage divisional communications and information, including filing systems and intranet updates; supervise junior staff and ensure effective office management.
Work Experience
At least five (5) years of progressively responsible secretarial and administrative experience. One (1) year of relevant experience in office support in a multi-cultural organization or national organization providing support on a global scope. Familiarity with IFAD project cycle and corporate systems (GRIPS, ORMS) is desirable. Experience in a decentralized environment supporting multiple stakeholders is a strong advantage.
