Job Purpose
The Procurement Assistant will support the Supply Chain Unit in Ecuador to ensure the timely procurement of goods and services essential for the efficient execution of WFP projects. This role involves identifying and registering suppliers, maintaining updated supplier databases, and preparing tender documents in accordance with WFP regulations. The assistant will also participate in procurement committees, manage purchase orders in SAP, and ensure that all acquisition processes are well-documented and archived both digitally and physically. The position requires meticulous attention to detail, strong organizational skills, and the ability to work effectively under supervision while adhering to WFP's procurement standards and contributing to the achievement of the Country Strategic Plan.
Responsibilities
The Asistente de Adquisiciones (Procurement Assistant) plays a crucial role in supporting the World Food Programme's (WFP) supply chain operations in Ecuador. This position is vital for ensuring the timely and efficient procurement of goods and services necessary for WFP's projects. The assistant will be responsible for identifying and registering potential suppliers, maintaining and updating supplier databases, and ensuring all required documentation is current. A key duty involves preparing tender documents for various types of procurement, including food, non-food items, and services, and acting as a secretary in procurement committees to finalize award decisions. The role requires meticulous attention to detail in reviewing documents before tender launches and ensuring all supporting paperwork is complete. Furthermore, the assistant will manage the digital and physical archiving of all procurement-related documents, ensuring accurate registration in SAP and maintaining updated records. They will also track the validity of contracts and long-term agreements, assist in market studies for suppliers, and support the monitoring of food suppliers, including verification processes and quality assurance. This role is essential for the smooth functioning of WFP's operations, contributing directly to the organization's mission of saving lives and changing them for the better.
Work Experience
Requires at least four years of progressive experience in local and international procurement support functions. Experience in food procurement is a plus.
