Job Purpose
The Business Support Assistant, reporting to the Human Resources Associate, will provide crucial operational support to the Human Resources unit in Lima, Peru. This role is essential for ensuring the accurate application of HR policies and procedures, thereby facilitating efficient and client-centered HR services. The assistant will handle general HR inquiries, provide guidance to staff on HR systems and procedures, and coordinate with internal departments on matters such as payroll and contracts. Key responsibilities include extracting and compiling HR data for reporting, providing administrative support for onboarding and other HR activities, maintaining confidential personnel records, and preparing various HR documents. The role also involves utilizing HR management systems for data entry and tracking deadlines, and supporting staff deployment and related administrative tasks to ensure WFP can respond effectively to crises.
Responsibilities
The Business Support Assistant for the Human Resources unit will support the operational management of key processes, assist in the accurate application of policies and procedures, and facilitate efficient, client-centered functioning. Key responsibilities include responding to general HR inquiries, providing guidance on HR systems and procedures to staff, and coordinating with other departments on HR matters like payroll and contracts. The role involves extracting and compiling HR data for reporting, offering administrative support for HR activities such as onboarding new staff, and maintaining confidential personnel files and HR databases. Additionally, the assistant will help prepare HR documents like employment contracts and training-related materials, ensuring accuracy and timeliness. They will utilize HR management systems for data entry and updates, track various deadlines, and support staff deployment and related administrative tasks. The position requires a secondary education, with a university degree in a related field being desirable. At least four years of professional experience in human resources and administrative areas are necessary, with prior experience in UN agencies being a plus. Proficiency in MS Office, knowledge of HR systems like Workday, and familiarity with payroll, contracts, and recruitment processes are essential. Strong interpersonal skills, a results-oriented approach, and the ability to work in a team are also required.
Work Experience
Requires at least 4 years of professional experience in human resources and administrative areas. One year of experience in similar responsibilities within United Nations agencies is desirable. Proficiency in MS Office, Workday, payroll, contract administration, and recruitment processes is needed. Ability to provide basic HR guidance and training is also beneficial.
