Organizational Context
This position is within the Facilities and Administrative Services Branch (FASB) of the Division for Management Services (DMS) at UNFPA Headquarters. FASB provides essential support services including facilities and asset management. The incumbent reports to the Chief of the Facilities Management Section and supervises General Service staff. Job Purpose
The Space Planner & Contracts Analyst, reporting to the Chief of Facilities Management, is responsible for specialized space planning and contract administration for UNFPA Headquarters and Field Offices. This role supports facilities-sponsored contracts, ensures efficient office space utilization, and provides guidance to Field Offices. The analyst also coordinates with interagency groups on facilities management matters, contributing to the effective operation and strategic implementation of UNFPA's global mandate.
Responsibilities
The role involves providing guidance and oversight for Headquarters building facilities management, contributing to policy development, and supporting facilities management applications. Responsibilities include planning and implementing capital improvements, drafting proposals for construction and alterations, and managing relationships with building landlords. The analyst also guides space planning for Field Offices, reviews relocation and renovation requests, and ensures cost-effectiveness in alterations. Contract management is a key function, involving the maintenance of a contracts register, review of lease and service agreements, and technical review of contractor offers. The position also requires representing UNFPA in interagency meetings on facilities management and potentially acting as Chief of Section.
Work Experience
A minimum of 2 years of professional experience in facilities management, including space planning, office renovation, and contract management at national and international levels. UN common system experience, particularly in field settings, is highly desirable. AutoCAD knowledge is a plus.
