Associate Administrative Officer
Organizational Context
This position is within the Common Administrative Platform (One Executive Office) at UN Headquarters, supporting the Department of Operational Support. As part of the UN80 reform, it consolidates administrative functions into unified service platforms. The role provides comprehensive administrative and operational support to various New York-based Secretariat entities, reporting to the Finance Team Lead.
Job Purpose
The Associate Administrative Officer will provide essential administrative and operational support to client entities within the UN Secretariat, specifically supporting CTED, DPO, DPPA, OCT, ODA, and Special Political Missions. This role is crucial for the effective functioning of the One Executive Office, a key component of the UN80 reform initiative. The incumbent will manage human resources functions, assist in budget and financial administration, and oversee general administrative tasks. A significant aspect of the role involves data analysis and visualization to support planning, decision-making, and reporting, ensuring efficient resource allocation and operational effectiveness. The position contributes to the overall mandate fulfillment of supported entities through robust administrative services.
Responsibilities
Manage human resources functions, including acting as a focal point for post management and providing staffing needs information. Oversee budget and finance, supporting the Team Lead in managing financial resources, analyzing cash positions, preparing financial reports, and assisting in budget development and resource allocation. Monitor budget/work program performance and reallocate resources as needed. Support the implementation of financial databases and contribute to budgetary guidelines. Provide general administrative support, including supervising staff, managing travel programs, monitoring vendor payments, coordinating internal controls and oversight activities, and handling office space and technology needs. Analyze data, identify trends, and create visualizations for planning, decision-making, and reporting.
Work Experience
A minimum of two years of progressively responsible experience in administration, finance, accounting, or a related area is required. One year or more of experience in data analytics and building data models is also required, along with experience in developing data models and analytical dashboards using data visualization tools. Experience with Microsoft Power BI, Power Query Editor, Advanced Excel, and PowerPoint is desirable.
