ASSOCIATE ADMINISTRATIVE OFFICER
Organizational Context
The United Nations Office for Partnerships (UN Partnerships) serves as the UN system's gateway for co-creating solutions through partnerships to achieve the Sustainable Development Goals (SDGs). It proactively engages stakeholders and supports the Decade of Action. The office oversees key programs like SDG Advocates, UNFIP, and UNDEF. This role supports all UN Partnerships initiatives.
Job Purpose
The Associate Administrative Officer will provide comprehensive administrative support across human resources, budget, finance, and general administration within the UN Partnerships office. This includes managing HR activities, advising on staff rules, assisting in budget development and monitoring, and overseeing resource allocation for UN Partnerships, UNDEF, and grants. The role also involves supervising support staff, facilitating program development and implementation, and performing project management duties. Additionally, the incumbent will handle outreach, communications, operational travel, project monitoring, vendor payments, and office resource management, ensuring efficient operations and alignment with UN procedures and the office's strategic objectives.
Responsibilities
Manage human resource activities, ensuring consistent application of UN rules and procedures, and advise the team on conditions of service. Support the Executive Director on governance and HR matters. Provide information to inter-governmental bodies regarding staffing needs. Assist in developing the work program and budget, analyzing inputs, and formulating resource allocations. Monitor budgets for UN Partnerships, UNDEF, and grants, reallocating resources as needed. Supervise support staff. Facilitate the development, implementation, and evaluation of SDG-focused programs and initiatives with key clients. Perform other administrative, project management, and partnership duties, including outreach, communications, operational travel, project monitoring, vendor payments, and office resource management.
Work Experience
A minimum of two years of progressive experience in administration, finance, accounting, or human resources is required. Experience administering donor-funded programs, negotiating project documents, reviewing budgets, and project monitoring/evaluation is necessary. Experience in HR administration, recruitment, and contract management is also required. Experience managing global multi-stakeholder networks for SDG 12 is desirable.
