Job Purpose
The Staff Travel Officer is responsible for the effective management, performance, and service delivery of the Staff Travel Team. This role is crucial for supporting routine official travel and emergency deployments to complex operational environments. The position requires coordinating daily team activities to ensure travel services comply with policies, procedures, and entitlements. Emphasis is placed on promoting cost-effective travel practices and maintaining high standards of customer service across the organization, adapting to fluctuating workloads and peak activity during emergencies and major events.
Responsibilities
Arrange and book travel for IOM staff, ensuring efficiency and effectiveness in coordination with missions and stakeholders. Promote cost-effective travel solutions by applying established policies, identifying optimal itineraries, and reviewing available options. Analyze and interpret travel policies, rules, and entitlements, providing recommendations for travel-related matters and exceptions. Supervise reporting staff in visa and invoice processing, managing their performance through objective setting and feedback. Provide technical guidance and subject-matter expertise on staff travel, contributing to process improvements. Monitor compliance with travel policies and procedures, including airline invoicing. Interface with stakeholders to identify cost-efficient solutions and support travel expenditure monitoring. Facilitate travel for emergency deployments and evacuations, assessing feasible options in crisis situations. Stay current with international travel regulations and IOM practices, maintaining knowledge of airline tariffs and policies. Coordinate with security on travel arrangements and maintain relationships with airlines, travel management companies, and hotels.
Work Experience
Experience in negotiating fares and agreements with airlines and travel agents. Proficiency with IATA rules, standards, and procedures. Experience in international travel operations, practices, and procedures. Familiarity with tariffication systems like AMADEUS and I-GATOR. Experience with IOM administrative procedures and travel functions at HQ or in the field is desirable.
Skills
Ability to coordinate effectively with airline partners. Knowledge and application of institutional financial policies and guidelines. Ability to follow internal control procedures to prevent fraud and mismanagement.
