Organizational Context
The Secretariat of the Policy-Making Organs supports the planning and conduct of meetings for the General Conference and Board of Governors. Its mandate is to ensure these bodies can effectively perform their statutory responsibilities and other functions, facilitating efficient meeting operations and enabling informed decision-making.
Job Purpose
Reporting to the Director General, the Secretary serves as the principal adviser to the Policy-Making Organs, Member States, and senior management on their consultation and business processes. This role is crucial for facilitating consultation and cooperation among governing bodies and between them and the Secretariat. The Secretary is responsible for coordinating the provision of a wide array of reports and documents, ensuring effective communication and the smooth functioning of these high-level organizational bodies.
Responsibilities
The Secretary serves as the principal liaison and facilitator for the Policy-Making Organs and their subsidiary bodies, including committees and working groups. Key duties involve supporting consultative, decision-making, and communication processes. This includes ensuring the timely preparation and distribution of agendas, minutes, and decisions. The role requires coordinating the content and submission of documents for the Board of Governors and General Conference, and holding consultations prior to formal meetings. The Secretary will liaise with Member States and IAEA partners, organize consultations, and act as a facilitator to bridge divergent viewpoints. Additionally, the role involves preparing detailed briefs and assisting the Chairman and President in conducting meetings, as well as managing an effective team and resources.
Work Experience
A minimum of 15 years of progressively responsible experience in international relations, international public administration, or a related area is required. This includes at least five years in senior management or executive roles within an international organization, public sector, or non-profit entity. Diplomatic negotiating experience is also essential.
