Organizational Context
The Logistics Services Division (CSL) at FAO headquarters in Rome, Italy, is responsible for ensuring effective and efficient administration and enabling functions. Job Purpose
The Travel Officer (Reporting and Monitoring) will support the administration and coordination of travel activities, with a specific focus on travel programme reporting and data management. This role involves testing and developing the Organization's travel system and ensuring all official travel adheres to approved policies and guidelines. The key objective is to contribute to the efficient and sustainable management of FAO's global travel programme by ensuring high-quality data management for adequate oversight, monitoring, and reporting capabilities. The position is vital for maintaining compliance and improving travel services.
Responsibilities
The Travel Officer will support compliance with travel policies, rules, and guidelines, monitoring exceptions and identifying areas for improvement. They will provide guidance to users on travel policy and systems, advising senior staff and travellers on complex issues and emergencies. The role involves contributing to the oversight and reporting of FAO’s global travel programme by generating and verifying travel data reports for stakeholders. Responsibilities include identifying needs for improvements in travel data and reporting, designing, testing, and implementing solutions. The officer will draft reports, manage travel databases, and investigate technical issues in travel systems, proposing solutions for enhanced performance and data quality. They will also coordinate system quality assurance, testing, and liaise with IT for system enhancements. Additionally, the role includes participating in capacity building for the user community through training and material development, proposing efficiency improvements, and supervising invoice processing for travel services.
Work Experience
Three years of relevant experience in travel systems or programme management is required. This experience should include data reporting and analysis, administration of travel management systems, and compliance with UN or international travel policies and procedures. Experience in more than one work location or area, particularly in field positions, is desirable.
Skills
Proficiency in data management, including data generation and analysis, is essential. Experience in administering corporate or organizational travel processes and Enterprise Resource Planning (ERP) or operational systems is highly valued. Knowledge of United Nations Travel rules and regulations is an asset. Specialized training or certification in travel management is desirable. A working knowledge of English (Level C) and an intermediate knowledge of another FAO official language are required.
