Organizational Context

The PCT Legal and User Support Section provides legal advice on PCT matters and implements changes to the PCT system. This role supports the Division in coordinating promotion, outreach, and training activities to increase awareness and facilitate growth of the PCT system among users and potential users worldwide.

Job Purpose

The primary purpose of this role is to provide essential administrative support to senior staff in coordinating a wide range of PCT promotional, outreach, and training activities. This involves collaborating with internal WIPO units, external organizers, and IP Offices globally. The role aims to enhance the visibility and adoption of the PCT system by facilitating effective communication, logistical arrangements, and the dissemination of information, ultimately contributing to the growth and increased awareness of WIPO's global services.

Responsibilities

Provide administrative support for coordinating PCT promotional, outreach, and training activities, both in-person and online, with various WIPO units and external organizers. Manage correspondence, track deadlines, and ensure timely responses. Coordinate the preparation and translation of seminar documents and maintain a repository of master materials. Assist with financial and budgetary aspects, including travel, visa, and security arrangements for speakers. Collect and consolidate participant feedback to support continuous improvement. Create and maintain databases, contact lists, and directories. Assist in developing audio/visual aids and promotional materials for online and offline use. Serve as a liaison with internal and external counterparts to ensure smooth information flow and efficient execution of activities. Propose procedural adjustments to streamline operations and support the promotion of PCT and other WIPO global services.

Work Experience

At least five years of relevant experience is required. Experience in coordinating outreach activities and overseeing budgetary activities is desirable.

Skills

Ability to edit training material, work within applicable rules and procedures, prioritize tasks, and meet deadlines. Strong organizational skills, attention to detail, and ability to work independently and in a team. Proficiency in digital tools, including Microsoft Office and online collaboration platforms. Good communication and interpersonal skills for effective partnerships in a multicultural environment.
