Assistant Archives Officer
Organizational Context
The Records and Archives Unit, within WIPO's Administration, Finance and Management Sector, is responsible for developing and implementing policies and best practices for managing organizational records and archives. It supports integrated strategies for knowledge management and enterprise content management to meet business needs and facilitate knowledge sharing across the Organization.
Job Purpose
The Assistant Archives Officer plays a key role in developing and implementing archival management policies and procedures to ensure the integrity, authenticity, and accessibility of WIPO's archives. This involves assisting with daily archival operations, including accessioning and processing records, responding to reference requests, and digitizing collections. The role also supports physical records management and contributes to developing strategies for the long-term preservation of digital archives, while promoting archival services throughout WIPO.
Responsibilities
The Assistant Archives Officer will identify and accession archival records, appraise, arrange, and describe them according to international standards like ISAD(G) and Records in Contexts (RiC). Responsibilities include performing basic preservation treatments, contributing to archival management systems, and responding to reference requests. The role involves digitizing collections, supporting digital preservation, and contributing to new archival tools and technologies. Additionally, the incumbent will advise WIPO staff on archival practices, participate in outreach activities, assist with physical records management, and undertake project-related tasks as needed.
Work Experience
At least two years of relevant professional experience in archival management or records and information management is required, including practical experience with archival management systems. Experience in an international organization or with digital preservation programs is desirable.
Skills
Essential skills include a strong understanding of archival principles, practices, international standards, and descriptive standards like ISAD(G) and RiC. The ability to work collaboratively in teams, strong customer orientation, and excellent communication and interpersonal skills are crucial. Adaptability to new archival practices and technologies is also important.
