Organizational Context
The World Health Organization (WHO) Country Office in the Democratic Republic of Congo is responsible for managing its inventory of fixed assets. Job Purpose
The purpose of this role is to provide essential administrative and technical support for the management of the WHO Country Office's inventory of fixed assets in the Democratic Republic of Congo. The incumbent will be responsible for maintaining the accuracy and completeness of the inventory database, ensuring compliance with WHO policies and procedures. This involves tracking newly acquired assets, conducting physical inventories, managing asset movements, and preparing reports. The role directly contributes to the proper financial and operational management of the WHO's resources within the country, ensuring accountability and efficient utilization of assets.
Responsibilities
Key responsibilities include registering and updating all newly acquired fixed assets in the Global Management System (GSM). The incumbent will maintain and ensure the quality and accuracy of the inventory database, and oversee the reception of goods for the country office and sub-offices. Conducting annual physical inventories, recording assets, and tracking their movement are crucial. This involves verifying incoming goods against purchase orders, ensuring proper storage and delivery, and obtaining signed individual inventory forms from users. The role also entails managing asset transfers upon staff departure, preparing lists of lost or damaged assets for disposal, and contributing to the periodic update of fixed asset information for insurance purposes.
Work Experience
A minimum of two years of relevant experience in inventory management, logistics, or administrative support is required. Experience working with an international organization or within the UN system is desirable.
Skills
Proficiency in modern inventory and coding techniques. Thorough understanding of administrative procedures. Ability to work in a multicultural environment. Competence with database management, modern inventory and statistical software, and standard office software (Word, Excel, Access). Strong organizational and record-keeping skills. Language proficiency in French (Advanced) and English (Advanced) is required.
