Organizational Context
The WHO Western Pacific Regional Office's Knowledge Management Unit (KMU) is integral to the organization's knowledge management strategy. It upholds WPRO's publishing policies, focusing on quality, customer service, copyright, brand adherence, and supporting low- and middle-income countries. This role contributes to these objectives within the Programme Management department.
Job Purpose
The Publications Associate supports the WPRO publishing program by monitoring work plans, reviewing product proposals, and ensuring quality assurance of publications. This role involves coordinating production, dissemination, and promotional activities, liaising with technical units and country offices, and managing supplier relationships for graphic design and printing. The associate also maintains sales and distribution records, assigns ISBN/ISSN/DOI, advises on copyright, and ensures publications are accessible and promoted effectively.
Responsibilities
Monitor the implementation of the WPRO publishing program's operational workplan, including production, dissemination, and promotional activities. Conduct initial reviews of product proposals and external journal article requests, providing guidance for completion. Proofread formatted publications for quality assurance, ensuring brand adherence and accurate content transfer. Develop and maintain a system for tracking and monitoring ongoing publication projects. Guide WPRO Publications team members on workload management and skill development. Assist in updating promotional channels with new publications in coordination with technical units and country offices. Liaise with regional associations and organizations for joint promotion opportunities. Provide guidance to regional technical units and country offices on publication needs and promotions, ensuring compliance with guidelines. Coordinate graphic design, printing, and translation services, evaluating supplier quotations. Maintain records of publication sales and distribution, prepare performance reports, and monitor royalty payments. Prepare promotional materials, manage publication booths at events, and process orders. Assign ISBN/ISSN/DOI to new publications, advise on copyright, and ensure correct logo usage. Ensure publications are displayed and accessible.
Work Experience
Essential: A minimum of eight years of experience in the administrative management of publications. Desirable: Experience with health-related publications and prior experience within WHO or another UN agency.
Skills
Knowledge of WHO rules, regulations, and support procedures; In-depth knowledge of operational service areas; Proven team management, mentoring, and facilitation skills; Strong interpersonal and organizational skills.
