Organizational Context

Job Purpose
The primary purpose of this role is to provide comprehensive administrative and secretarial support to the WHO Representative (WR) in Lebanon. This includes managing the WR's schedule, handling correspondence, coordinating meetings with high-ranking officials and external partners, organizing travel, and maintaining essential documentation. The role ensures the smooth operation of the WR's office, facilitating effective communication and efficient execution of WHO's country cooperation strategies. It also involves assisting with administrative tasks, managing confidential files, and contributing to the office's social media presence, thereby supporting the overall mandate of WHO in Lebanon.
Responsibilities
Key responsibilities include managing the WR's calendar, appointments, and meetings, including those with high-ranking officials. The role involves handling all incoming and outgoing correspondence, screening calls, and providing informal translation. It requires compiling briefing materials, maintaining contact lists with external partners and UN agencies, and coordinating meetings. The position is responsible for drafting routine correspondence, typing documents, preparing presentations, and organizing the WR's travel arrangements, including visa processing and travel report follow-up. Additionally, the role ensures the timely renewal of personal documents, maintains office records and files, and assists with the issuance of agreements and progress report follow-up. Updating social media networks and providing administrative support to junior staff are also key duties.
Work Experience
Essential: A minimum of eight years of progressive secretarial and administrative experience. Desirable: Relevant experience within the UN system is advantageous.
Skills
Proficiency in drafting correspondence, strong time and stress management skills, and the ability to maintain good working relationships with clients and stakeholders. Knowledge of WHO rules, manuals, and procedures is an asset.
