Job Purpose
The Assistant Travel role is crucial for supporting the organization and coordination of staff travel, including missions, deployments, rotations, and official journeys. The incumbent will manage travel requests, make necessary bookings for flights and accommodation, and ensure all logistical arrangements are in place. This position ensures compliance with travel policies and procedures, maintains travel databases, and provides essential support to staff regarding travel arrangements. The role contributes to the smooth operational functioning of the WHO's response activities in the Democratic Republic of Congo by facilitating timely and efficient staff movement.
Responsibilities
Key responsibilities include organizing and coordinating all staff travel, processing travel requests according to established procedures, and making reservations for flights, accommodation, and other logistical needs. The role involves liaising with travel agencies and airlines, preparing and tracking travel documentation such as authorizations and mission orders, and assisting with the processing of travel reimbursements. Additionally, the Assistant Travel will monitor travel itineraries, manage changes and cancellations, maintain travel databases, and ensure adherence to organizational travel policies. Providing support to staff on travel-related inquiries and preparing travel reports are also integral parts of the role.
Work Experience
Essential: 5 years of experience in administrative positions, with at least 5 years specifically in a travel agency or airline company. A strong understanding of applicable rules, regulations, procedures, and practices is required. Desirable: Experience in diplomatic protocol/public relations or a related field is advantageous, as is experience within the UN system or an international organization.
Skills
Teamwork and integration, respecting and promoting individual and cultural differences, credible and effective communication, producing results, efficient resource utilization, travel management, ticketing, knowledge of travel regulations, administrative support, database maintenance, writing and editing skills, proficiency in French, and practical knowledge of Swahili or other local languages are desirable. Computer skills include Word and Excel.
