Organizational Context
The World Health Organization (WHO) is recruiting an SSA-Assistant in Procurement for its operations in the Democratic Republic of Congo. This role is part of the response efforts in Beni and Butembo, aiming to strengthen administrative and operational capacities to meet urgent needs.
Job Purpose
The SSA-Assistant in Procurement will support the procurement of goods and services in compliance with WHO procedures. The role involves managing purchase requests, preparing tender documents, and tracking the entire procurement process from request to delivery. This position is crucial for ensuring the timely and efficient acquisition of necessary resources to support the organization's response activities in the region. The assistant will also maintain supplier databases, coordinate with relevant departments, and prepare reports to ensure transparency and compliance.
Responsibilities
Key responsibilities include supporting the acquisition of goods and services according to organizational procedures, processing and reviewing purchase requests, and preparing procurement documentation such as requests for quotations and tenders. The role involves tracking procurement processes from initiation to delivery, supporting supplier selection and monitoring, and maintaining up-to-date supplier databases and procurement tracking tools. Additionally, the assistant will coordinate with requesting departments, logistics, and finance, verify supplier documentation, and ensure proper filing and archiving of procurement records. Preparing reports on procurement activities and identifying potential delays or issues are also key duties.
Work Experience
Essential: At least 5 years of experience in a recognized public or private institution. Desirable: Experience in administrative support or procurement tracking within WHO or another UN agency; experience with Oracle or similar ERP systems.
Skills
Proficiency in French; knowledge of Swahili and other local languages is an asset. Computer skills in Word and Excel. WHO core competencies: Foster integration and teamwork, Respect and promote individual and cultural differences, Communicate credibly and effectively, Produce results.
