Organizational Context
The Monitoring and Evaluation, Special Initiatives and Change Management (MSC) Unit strengthens organizational effectiveness in the WHO African Region. It focuses on performance governance, strategic intelligence, and accountability, setting standards for M&E, driving learning and change, and ensuring evidence-based decision-making to foster continuous improvement and achieve health objectives.
Job Purpose
The Program Assistant provides essential administrative and programmatic support to the MSC Unit, contributing to its effectiveness in performance governance, strategic intelligence, and accountability within the WHO African Region. This role facilitates the smooth operation of various workstreams by managing administrative tasks, maintaining records, and supporting project implementation. By ensuring efficient information flow and adherence to procedures, the assistant helps the unit generate reliable evidence, inform strategic decisions, and drive continuous improvement in program performance and health outcomes across African nations, leveraging AI tools for enhanced efficiency.
Responsibilities
Provide comprehensive administrative support for program management, including human resources, planning, budgeting, monitoring, and resource mobilization. Review requisitions for goods and services, ensuring accuracy and fund availability. Organize and manage meetings, workshops, and consultations, including agenda preparation, minute-taking, and follow-ups, utilizing AI tools for summarization and transcription. Handle contract administration, logistics, and travel arrangements according to WHO procedures. Manage calendars and communications using productivity and AI tools. Maintain digital and physical filing systems with AI-assisted search capabilities. Assist with data collection, analysis, and report preparation. Maintain accurate records, databases, and contact lists. Support the creation and updating of visual materials. Develop and implement tools for program monitoring and evaluation. Coordinate communications activities, including drafting and formatting documents for various media, ensuring accuracy and confidentiality with AI assistance. Perform other assigned duties.
Work Experience
Essential: Minimum of ten years of experience in programme management. Desirable: Experience in public health programs and with the UN system or other international organizations.
Skills
Proven ability to manage multiple tasks, adapt priorities, and propose innovative solutions. Strong analytical, oral, and written communication skills, including reporting and presentations. Experience in fostering collaborations and supporting resource mobilization. Proven ability to utilize generative AI applications. Understanding of effective management practices, program planning, and evaluation.
