The World Health Organization (WHO) is strengthening its administrative and operational capacity in the Democratic Republic of Congo, specifically in Bunia, Beni, Butembo, and Goma. This role supports the response efforts by filling existing gaps in administrative and financial management within the relevant departments.
Job Purpose
This administrative assistant position is crucial for supporting the WHO's response activities in the Democratic Republic of Congo. The role's primary purpose is to manage financial and administrative tasks, ensuring the smooth operation of the response teams. This includes handling financial records, processing payments, and providing essential support to staff and consultants. By maintaining accurate financial data and facilitating efficient administrative processes, the assistant directly contributes to the effectiveness and timely execution of WHO's public health initiatives in the region.
Responsibilities
The Administrative Assistant will manage financial dossiers, including daily accounting operations and weekly cash book reconciliations with bank statements for monthly imprest preparation. Responsibilities include rigorous follow-up of Purchase Orders (POs), analyzing financial reports, and preparing periodic and special reports for budgeting and verification purposes. The role involves drafting financial transaction verification correspondence, advising staff on entitlements, travel reimbursements, and other financial matters, and calculating and processing payments. Additionally, the assistant will liaise with local banks for updated information on exchange rates and procedures, and with financial companies for fund transfers. Budgetary analysis and projections may also be required, along with other assigned duties.
Work Experience
Essential: At least five (5) years of experience in a similar role. Desirable: Good knowledge of computer applications (Word, Excel, etc.) and internet usage. Experience with a UN Agency or international/multinational organization is an asset.
