Organizational Context
The World Health Organization (WHO) Country Office in the Central African Republic (AF_CAF) is seeking an Administrative Assistant for its Disease Prevention and Control (DPC) cluster. This role supports the Expanded Programme on Immunization (EPI) and the Global Polio Eradication Initiative (GPEI) to strengthen vaccination systems.
Job Purpose
The Administrative Assistant will provide essential administrative, financial, and logistical support to the DPC program and GPEI coordination within the WHO Country Office in the Central African Republic. The primary objective is to facilitate the effective implementation of immunization activities, including the Expanded Programme on Immunization (EPI) and polio eradication efforts. This role is crucial for enhancing the country office's capacity to lead and support the strengthening of national vaccination systems. The assistant will manage budgetary controls, track financial expenditures, and ensure timely execution of program activities, contributing directly to WHO's public health mandate in the region.
Responsibilities
The Administrative Assistant will report to the Operations Officer and support the Head of the VPD Programme and GPEI Coordinator. Key duties include managing budgetary controls, preparing financial status reports, and monitoring expenditures. The role involves facilitating program implementation, tracking activities, and preparing monthly reports. The assistant will provide administrative and financial guidance to program staff, experts, and consultants, particularly regarding travel claims and reimbursements. Responsibilities also include planning and coordinating meetings, workshops, and seminars, preparing meeting minutes, and following up on action items. Managing procurement requests for goods and services, ensuring timely payments, and maintaining inventory are critical. The role requires drafting correspondence, maintaining filing systems, and preparing periodic reports on program budgets and contributions. Utilizing WHO's enterprise resource planning systems (GSM/Oracle) for travel requests and other administrative tasks is essential. The assistant will also perform other duties as assigned to support the program's operational efficiency.
Work Experience
Essential: A minimum of 8 years of proven experience in administrative roles. Desirable: Experience in financial and administrative support within WHO or the UN system is beneficial. Familiarity with Oracle or other ERP systems is an asset.
Skills
Communication, results-orientation, self-management, adaptability, efficient resource utilization, knowledge of Standard Operating Procedures (SOPs), planning ability, proficiency in MS Office Suite (Word, Excel, PowerPoint, PDF, Publisher), ability to work under pressure.
