Programme Assistant (multiple Contract Modalities)

Job Purpose
The Programme Assistant provides essential secretarial, coordinating, monitoring, and administrative support for project and programme activities within the WHO Country Office in Ukraine. This role is crucial for the smooth operation of health initiatives, ensuring effective implementation of collaborative agreements and workplans. The incumbent will manage correspondence, track project progress, monitor budgets, arrange travel and meetings, and maintain essential records. By providing reliable administrative and secretarial services, the Programme Assistant directly contributes to the WHO's mandate of promoting health equity, supporting national health strategies, and ensuring efficient delivery of health services in Ukraine, thereby supporting the overall objective of achieving the highest standards of health for all citizens.
Responsibilities
Drafts and finalizes correspondence and documents, revises reports for accuracy, and takes meeting minutes. Manages incoming/outgoing correspondence, tracks deadlines, and provides updates on program implementation status. Monitors project activities and financial expenditures using ERP systems, and prepares background materials for planning and evaluation. Arranges administrative aspects for country and inter-country activities, including procurement, travel, and event logistics. Provides administrative and secretarial support for meetings, workshops, and symposia. Maintains filing systems for technical documents and correspondence, and manages relevant databases. Handles telephone inquiries, assesses technical queries, and coordinates appointments and visitor programs. Offers guidance on office procedures and assists colleagues. Supports the preparation of donor proposals and reports, focusing on financial and resource management components.
Work Experience
Essential: Minimum of 5 years of relevant administrative experience, or 3 years of experience with a first-level university degree in public or business administration. Desirable: Experience with WHO or other UN agencies, and proficiency in Oracle-based or other ERP systems are advantageous.
Skills
Proficiency in word processing and other standard office software. Experience with standard office equipment. Formal or self-training in standard office software. Training in Oracle-based or other ERP systems is an asset. Expert knowledge of English and Ukrainian. Knowledge of another UN official language is desirable.
