Organizational Context
The WHO Division of Pacific Technical Support (DPS) coordinates technical and administrative support for Pacific Island Countries within the Western Pacific Region. The Country Office aims to help these nations achieve their health goals and contribute to global public health efforts.
Job Purpose
This role provides essential administrative and clerical support within the WHO Country Office in Fiji. The incumbent will assist staff with organizing meetings and workshops, manage correspondence and records, handle front desk duties, and support logistical tasks such as shipment clearance. The position also includes backup responsibilities for the Registry Clerk and as a driver, ensuring smooth office operations and contributing to the achievement of WHO's health objectives in the region.
Responsibilities
Provide administrative support for meetings, workshops, and seminars, including document preparation and distribution. Type and format correspondence, documents, tables, and reports, ensuring adherence to WHO style guidelines. Maintain correspondence logs and update office records and files. Answer telephone calls and respond to routine inquiries. Obtain and disseminate information from various WHO offices and external agencies. Manage a comprehensive filing system for all work-related materials. Offer assistance and backup to colleagues during events and for other tasks. Manage the front desk, welcoming visitors and directing them appropriately. Support shipment customs clearance processes. Perform backup duties for the Registry Clerk and serve as a backup driver when needed. Undertake any other assigned duties to ensure efficient office operations.
Work Experience
Essential: Minimum of 2 years of clerical experience in an administrative or office environment. Desirable: Experience as a driver with a safe driving record, and experience working with government agencies, NGOs, WHO, or other UN agencies.
Skills
Proficiency in office technology, with a commitment to continuous learning. Ability to stay updated on procedures, regulations, and organizational changes. WHO Competencies: Teamwork, Respecting and promoting individual and cultural differences, Communication, Producing results, Knowing and managing yourself. Language Skills: Essential: Fluency in English. Desirable: Fluency in the local language.
