Organizational Context

Job Purpose
This role provides essential administrative and programmatic support within the WHO Country Office for the Federated States of Micronesia. The Administrative Associate is responsible for coordinating and processing a wide range of work products and transactions across financial, programmatic, and administrative functions. This includes managing financial documents, processing payments, monitoring project budgets, and supporting HR tasks. The position is crucial for ensuring the smooth operation of the office and the effective delivery of WHO's technical cooperation in the region, contributing to improved health outcomes.
Responsibilities
Administer and coordinate processing of work products and transactions across programme, financial, and administrative areas. Review financial documents, reconcile accounts, and prepare reports. Process transactions in the enterprise resource planning system and follow up on payments. Monitor country activity implementation, including deadlines and budgets, reporting any issues. Support the preparation and monitoring of teamwork plans. Coordinate human resources administrative tasks, including information provision, contract management, and onboarding. Manage office administrative functions and serve as the office space focal point. Process purchase requests for services and equipment. Administer the team's client support system and correspondence flow. Provide administrative support for meetings, including preparation of documents and travel arrangements. Compile documentation for meetings and maintain electronic filing systems.
Work Experience
Essential: Minimum of eight years of progressively responsible work experience in the secretarial/administrative field. Desirable: Relevant experience in WHO or the United Nations system, and experience with enterprise resource planning systems.
Skills
Proficiency in standard office software, note-taking, and computerized systems. Knowledge of UN/WHO administrative procedures and regulations. Ability to research, prepare reports, and maintain filing systems. Basic financial accounting skills. Ability to train and brief staff on administrative procedures. Strong written communication skills for drafting correspondence and reports. Ability to maintain effective client relationships.
