Job Purpose

The Finance Assistant will support the effective delivery of finance, budget, and administration support services to ensure transparent and efficient utilization of financial resources. This role involves processing various financial transactions, monitoring expenditures, managing vendor claims, and ensuring timely payments in accordance with WFP finance rules and regulations. The incumbent will also be responsible for maintaining financial records, preparing reports, and assisting with budget-related information compilation. This position requires a strong focus on accuracy and consistency in processing a high volume of transactions, contributing to the overall financial integrity and operational efficiency of the WFP office.

Responsibilities

The Finance Assistant will be responsible for a range of financial tasks under the guidance of the Head of Finance and Resource Management and direct supervision of the Senior Finance Associate. Key duties include monitoring monthly expenditure forecasts and generating reports to support decision-making. The role involves processing domestic trip advances, daily subsistence allowances, and air ticket invoices. Regular monitoring of imprest bank and petty cash accounts is required to ensure adequate funds and proper disbursement. The assistant will verify non-food item vendor claims, process payments through the Global Payments Solution (GPS) in ServiceNow, and manage the Invoice Tracking System (ITS) by uploading, assigning, and resolving invoices. They will also assist in compiling financial reports, retrieving and validating financial data, and identifying discrepancies for corrective action. A significant responsibility includes leading the documentation, filing, archiving, and disposal of financial records. Additionally, the role requires creating Journal Vouchers in WINGS for adjustments and fund returns, monitoring expenses against approved budgets to ensure accurate cost charging, and timely processing of supplier payments. The Finance Assistant will also perform other related duties as assigned by their supervisor.

Work Experience

Requires a minimum of 5 years of relevant finance experience, with a strong emphasis on accuracy and consistency when processing high volumes of transactions. Proficiency in ERP systems, particularly SAP, is desirable. A working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint) is also necessary.
