Job Purpose
The Business Support Assistant (Supply Chain) will provide essential administrative and business support to WFP's logistics and supply chain operations in Liberia. This role is crucial for ensuring the efficient delivery of commodities and services by supporting documentation management, data processing, reporting, commodity tracking, and inventory record management. The incumbent will maintain accurate records in WFP corporate systems, assist with vendor and partner coordination, and ensure compliance with WFP procedures and standards. This position contributes directly to the effective implementation of WFP's Country Strategic Plan, supporting Liberia's transition towards sustainable national systems in food security, nutrition, and health supply chains.
Responsibilities
The role involves providing comprehensive business and administrative support to logistics and supply chain operations, ensuring the efficient and timely delivery of commodities and services. Key responsibilities include managing commodity tracking, coordinating transportation, and monitoring program activities like the Home-Grown School Feeding (HGSF) initiative. This entails overseeing stock levels and movements at various facilities, maintaining accurate logistics records, and generating routine operational reports. The position also requires supporting the Supply Chain Unit through data collection, document preparation, records management, and processing financial transactions, ensuring all records are organized and audit-ready. A crucial aspect is maintaining and verifying supply chain information in corporate systems, ensuring data integrity, and preparing regular reports on various logistics aspects. Furthermore, the role supports warehouse and inventory management, including stock reconciliation, physical counts, and monitoring storage conditions, while also assisting in vendor and partner management by maintaining records and liaising with stakeholders. Compliance with WFP policies and procedures, assisting with audits, and identifying process improvements are also integral to the position.
Work Experience
Requires at least four years of progressive work experience in logistics, supply chain operations, business support, administration, warehouse operations, or inventory management. Experience in humanitarian or development organizations is a plus. Proficiency in Microsoft Office applications, especially Excel, Word, and Outlook, is necessary.
