Job Purpose
The Logistics Assistant will provide essential support to WFP's logistics operations, ensuring the timely and efficient delivery of food assistance and supplies to beneficiaries and partners. This role involves assisting with commodity ordering, vendor management, and processing necessary documentation for customs clearance and invoice verification. The incumbent will contribute to monitoring inventory, managing commodity accounting data quality, and supporting operational pipeline analyses and planning. Additionally, the Logistics Assistant will collect and compile data for reports, ensuring accuracy in corporate systems to aid informed decision-making, and liaise with stakeholders to facilitate smooth logistics management. This position requires a proactive approach to resolving operational issues and providing guidance to support staff.
Responsibilities
The primary responsibilities involve providing comprehensive support to logistics operations, ensuring the efficient delivery of food assistance to beneficiaries. This includes facilitating the timely ordering and delivery of essential commodities and supplies to authorized partners and destinations. A key aspect is supporting the management of logistics vendors, which encompasses monitoring their performance and adherence to contractual obligations. The role requires responding to technical queries and requests for support with a client-service mindset, ensuring accurate and timely resolutions. Contributions to budget preparation, monitoring, and revision are essential, alongside ensuring compliance with corporate standards and relevant procedures. Furthermore, the position involves assisting in inventory management processes to track goods from source to beneficiary and maintaining the quality and integrity of commodity accounting data. Support for operational pipeline analyses, assessments, and planning across all delivery modalities is also a core duty. Processing necessary documentation for logistics operations, such as customs clearance and invoice verification, and resolving operational issues by escalating them when necessary, are critical tasks. The role also entails collecting and compiling data, contributing to various reports, and ensuring the accuracy of information in corporate systems to support informed decision-making. Effective liaison with internal and external stakeholders is necessary for efficient logistics management, and providing guidance to other support staff to ensure tasks are completed to agreed standards is also expected.
Work Experience
Requires a minimum of 5 years of experience in logistics operations. This includes expertise in transport and vendor management, inventory control, commodity tracking, and logistics documentation. Proficiency in SAP systems, operational planning, data analysis, and reporting is also essential.
