Job Purpose
The Business Support Assistant (Partnerships) will provide essential operational support under the direct supervision of the Head of Partnerships and Reporting Unit. The position also supports basic data analysis for operational information management and provides guidance to less experienced colleagues, ensuring effective service delivery and operational efficiency within the Country Office.
Responsibilities
The primary responsibilities involve providing comprehensive operational support to enhance the efficiency of other staff members. This includes gathering and compiling information for reports, documents, and correspondence, as well as responding to standard inquiries with timely and accurate guidance. The role requires processing and managing routine administrative and financial tasks across various functional areas to ensure effective resource management. Maintaining organized records and databases is crucial for easy information access. Building and sustaining relationships with diverse individuals through operational support facilitates information exchange and service delivery. A key aspect involves proofreading and editing documents according to established guidelines. Contributions to improving operational procedures and processes are expected, along with conducting basic data analysis for quality information management. Furthermore, the position entails mentoring less experienced colleagues. A significant part of the role is dedicated to supporting knowledge management, which includes designing, implementing, and continuously improving systems for organizing, preserving, and strategically utilizing institutional information and knowledge products. This also involves managing and strengthening the institutional knowledge repository, ensuring data reliability, accessibility, and ease of retrieval. Maintaining an updated matrix of country office reports, tracking deadlines, and communicating responsibilities are essential. The role also involves preparing and consolidating high-quality drafts of donor reports and other institutional products, ensuring narrative coherence, accuracy, and timely submission. Support for the preparation of key institutional reports, such as the Annual Country Report, is also a responsibility, ensuring data consistency and leveraging generated knowledge.
Work Experience
Requires a minimum of five years of progressive professional experience in a relevant operational field, along with general administrative task experience. Proficiency in specialized operational methods and practices, data analysis, problem-solving, financial transaction oversight, and strong communication skills are essential. Experience in knowledge and information management, including collaborative repositories, document control, best practices systematization, and knowledge product development, is also required. Maintaining confidentiality is crucial.
