Job Purpose
The Management Services Associate will be responsible for the full cycle of USG award implementation across the Pacific Multi-Country Office (MCO) portfolio, supporting multi-country operations. This role requires a high degree of initiative to independently manage queries and enhance systems and processes for USG-funded programmes, ensuring compliance with WFP corporate standards and donor requirements. The Associate will lead and coordinate specialized management services, including facilities management, travel, protocol, and fleet management, ensuring efficient, compliant, and integrated service delivery. Key responsibilities include verifying resource needs, overseeing service delivery, compiling operational data for reporting, and contributing to administrative actions in procurement, finance, and HR. The role also involves reviewing and updating administrative processes, responding to queries, coordinating support staff, and providing training on WFP policies and USG compliance.
Responsibilities
The Management Services Assistant plays a crucial role in supporting the full cycle of USG award implementation across the Pacific Multi-Country Office (MCO) in Fiji. This position requires a high degree of responsibility and initiative to independently address queries and enhance systems for USG-funded programs. The assistant leads and coordinates specialized, client-focused management services, ensuring efficient and compliant delivery across multi-country operations. Key responsibilities include verifying resource requirements for travel, facilities, assets, and fleet management, and overseeing services like facilities management, travel, and protocol. The role involves compiling and analyzing operational data for reporting, and supporting administrative actions in procurement, finance, HR, and vendor contracts, ensuring compliance with WFP and USG requirements. The assistant will also review and update administrative processes, respond to queries related to program implementation, and coordinate a team supporting administrative services. Furthermore, they will provide training on administrative procedures and policies, and offer basic finance support. The position demands strong experience in management services, grant management systems, and a customer-focused approach to service delivery.
Work Experience
Requires at least 5 years of experience in Management Services and Resource Management.
