Job Purpose
The HR Assistant will support the Deputy Head of Human Resources in implementing WFP Madagascar's HR policies and procedures. This role is crucial for ensuring efficient and responsive HR services tailored to the needs of staff and aligned with strategic objectives. The incumbent will manage various HR administrative tasks, including onboarding, maintaining personnel records, and generating HR documents. They will also provide guidance and on-the-job training, liaise with other units on payroll and contracts, and collect data for recruitment and selection analysis. The HR Assistant will utilize HR management systems for data entry and tracking, contributing to the overall effectiveness of HR operations and WFP's mission.
Responsibilities
The Assistant Human Resources role at WFP involves providing comprehensive support for the implementation of HR policies and procedures within WFP Madagascar. Key responsibilities include professionally addressing general HR inquiries, offering guidance and on-the-job training to staff on HR systems and procedures, and liaising with other units for payroll and contract-related matters. The role also entails collecting and compiling data on recruitment, contracts, benefits, and training to support analysis and information needs. Administrative support for various HR activities, such as onboarding new staff, is crucial. Additionally, the position requires meticulous management of confidential personnel files and HR databases, ensuring data accuracy and proper storage. Drafting essential HR documents like employment contracts and transfer letters, and utilizing HR management systems for data entry and tracking deadlines are also core duties. The role contributes to staff deployment, administrative measures, and overall HR service efficiency, ensuring WFP can respond effectively in crisis situations. The position requires a strong client-oriented approach, empathy, and the ability to deliver high-quality, responsive HR services.
Work Experience
Requires at least five years of experience in personnel administration, recruitment, or a similar HR field. A strong client focus and a proven ability to deliver responsive, empathetic, and high-quality HR services are essential. Proficiency in French (spoken and written) is mandatory, with English knowledge being an asset.
