Organizational Context
The Research Assessment and Monitoring (RAM) unit in Senegal is responsible for providing analytical evidence to guide WFP's operational response. The Programme Assistant will provide administrative support to the RAM team, manage WFP's toll-free hotline, and act as a liaison between field monitors, Programme units, and the central RAM unit, reporting to the Head of RAM.
Job Purpose
The Programme Assistant (RAM) will provide essential administrative and operational support to the Research Assessment and Monitoring (RAM) unit in Dakar/Diamniadio, Senegal. This role is crucial for ensuring the smooth functioning of the RAM team and facilitating effective data collection and information management. The incumbent will manage the daily operations of WFP's toll-free hotline, processing inquiries and disseminating information as needed, while also handling routine administrative and financial tasks for the unit. Key responsibilities include supporting the organization of meetings, taking minutes, and ensuring timely reporting. Furthermore, the assistant will maintain WFP's corporate information systems (COMET, Databridge, MoDA), ensuring data accuracy and accessibility, and liaise with field monitors to facilitate the flow of information from activity sites. This position requires strong organizational skills, attention to detail, and the ability to work collaboratively with various internal units and external partners to support evidence-based decision-making for WFP's operations.
Responsibilities
The Research Assessment and Monitoring (RAM) Assistant plays a crucial administrative support role within the World Food Programme (WFP) in Dakar/Diamniadio, Senegal. Key responsibilities include managing the daily operations of the WFP hotline, processing administrative and financial tasks for the RAM unit, and organizing internal and inter-unit meetings, including note-taking and reporting. The assistant will also be responsible for maintaining WFP's corporate information systems, ensuring data accuracy and accessibility for staff. Furthermore, they will act as a liaison between field monitors, Programme units, and the central RAM unit, facilitating information flow and supporting partnership monitoring and payments. The role involves collecting data and performing basic analyses to aid effective management information. The candidate will also support the unit in managing partnerships and partner payments, and serve as a conduit for information from field monitoring activities. This role requires strong organizational skills, proficiency in Microsoft Office, and the ability to handle diverse administrative duties with minimal supervision, contributing to the overall efficiency of the RAM unit's evidence-based support for WFP's humanitarian efforts.
Work Experience
Requires completion of secondary education with five years of experience in management, administration, or logistics. Desired experience includes handling a hotline, managing schedules, preparing documents, record-keeping, correspondence, and familiarity with financial and contract management systems (WINGS, COUPA). Must be able to organize meetings, events, and travel, analyze data, prioritize tasks, and possess strong written and verbal communication skills. Proficiency in Microsoft Office is essential.
