Job Purpose

The Procurement Assistant provides essential procurement services within the WFP Kyrgyz Republic Country Office, ensuring efficiency, transparency, and integrity in all operations. Reporting to the Lead Procurement Associate, this role supports the acquisition of goods and services critical for field operations. The assistant will compile data, prepare tender documents, evaluate offers, and negotiate contracts, adhering strictly to WFP's procurement manuals and standard operating procedures. Key responsibilities include managing purchasing requests, coordinating deliveries, maintaining accurate databases, and liaising with internal and external stakeholders to ensure procurement activities align with broader program objectives and meet food assistance needs effectively.

Responsibilities

The primary responsibilities involve performing administrative procurement activities efficiently to support the acquisition of goods and services for field operations. This includes compiling data, preparing and distributing documents for procurement programs, such as issuing tenders, evaluating offers, and negotiating contracts, while adhering to standard processes. A key duty is reviewing, recording, and prioritizing purchasing requests, ensuring all necessary documentation and funding are in place. The role also entails coordinating and monitoring the delivery of requisitions, verifying receipt and inspection of deliverables, and following up to ensure timely supply to operations. Information must be researched, collated, and presented in standard formats to aid informed decision-making. Maintaining accurate and accessible databases and records is crucial for reporting requirements. Collaboration with internal counterparts is essential to align procurement activities with broader programs and ensure a cohesive approach to meeting food assistance needs. Additionally, providing technical support and allocating tasks to other support staff is expected, along with following emergency preparedness practices to facilitate rapid deployment of resources during crises. This includes preparing contracts, supporting local procurement, strictly adhering to UN/WFP regulations and manuals, and contributing to the overall office objectives.

Work Experience

Requires at least five years of progressively responsible support experience in procurement or a related field.
