Job Purpose

The Logistics Assistant will support the effective implementation of standardized logistics and supply chain procedures to ensure the timely and efficient delivery of goods and services. This role involves assisting in the management of logistics operations, including order processing, delivery coordination, and contract management for service providers. The incumbent will also contribute to budget monitoring, inventory management, and data quality assurance for supply chain activities. Responsibilities include processing operational documentation, resolving logistical issues, and liaising with stakeholders to facilitate smooth operations. The position requires supporting data collection and reporting to aid informed decision-making and ensuring adherence to WFP's operational standards and institutional rules.

Responsibilities

The primary responsibilities involve supporting logistical operations and activities to ensure the efficient delivery of food assistance to beneficiaries. This includes assisting with the ordering and timely delivery of goods and supplies to authorized partners and sites. A key aspect is managing contractual relationships with logistics service providers, which involves monitoring and evaluating their performance. The role also requires responding to technical inquiries and requests for assistance, adhering to standard procedures, and seeking guidance when necessary to provide prompt and accurate information with a strong customer service focus. Contributing to budget establishment, monitoring, and revision for all execution modalities, while ensuring compliance with institutional rules, is also essential. Furthermore, the position involves assisting in the supervision of inventory management operations to analyze trends and report on stock status from source to beneficiary, and managing the quality and integrity of product accounting data. Support for operational supply chain analyses, evaluations, and planning is required. Processing logistical documentation, resolving operational issues, and escalating problems to supervisors are also part of the duties. Data collection, consolidation, and report generation, ensuring accuracy in internal systems to facilitate informed decision-making, are crucial. Finally, liaising with internal and external stakeholders to manage logistics operations efficiently and providing guidance to support staff to complete tasks according to standards and deadlines are key responsibilities.

Work Experience

Requires a minimum of 5 years of logistics experience. Experience is needed in tracking shipments, supplies, claims, and food stocks using internal systems. The role also requires data analysis (merchandise, funds), reporting, evaluating service provider performance against KPIs, assisting with contractual documents, and providing technical support for internal systems.
