Business Support Assistant - Integrated Risk Management

Job Purpose
The Business Support Assistant - Integrated Risk Management will provide essential administrative and coordination support to WFP's Disaster Risk Management (DRM) team in Cambodia. This role is crucial for ensuring the smooth and compliant management of partnership agreements, procurement processes, and internal workflows. The assistant will support the drafting and finalization of agreements with various partners, coordinate procurement activities, and assist in preparing reports and documentation. By maintaining accurate records and facilitating efficient operations, this position enables the technical teams to focus on program delivery and achieving WFP's strategic outcomes in disaster risk management and social protection.
Responsibilities
The role involves comprehensive administrative and coordination support for disaster risk management, shock-responsive social protection, and disaster risk financing initiatives. Key responsibilities include providing administrative assistance in drafting, reviewing, and finalizing partnership agreements with various entities, ensuring compliance with organizational rules and donor requirements. The position also supports procurement processes, liaising with logistics and finance units, and maintaining accurate transaction records. Reporting duties encompass assisting in the preparation of internal reports, consolidating partner submissions, and supporting the creation of presentations and updates for coordination meetings. Programme and team support includes organizing workshops and meetings, maintaining filing systems, and providing day-to-day administrative assistance to ensure smooth team operations. Furthermore, the role involves monitoring partner reports for compliance, supporting the oversight of procurement and partnership processes, and ensuring accountability and transparency. Additional responsibilities include acting as a focal point for gender mainstreaming, collaborating with communication teams for events and field visits, supporting social protection activities, and assisting in emergency response coordination. The role requires meticulous record-keeping, effective communication, and adherence to established procedures to facilitate program delivery and compliance.
Work Experience
Requires a minimum of five years of experience in disaster risk management, social protection, or development sectors, including project management. Must be proficient with computers, including Microsoft Office and other standard software. Familiarity with disaster risk management processes, reporting, programme management, monitoring, and evaluation is necessary. Experience working with diverse national and sub-national stakeholders is essential. Knowledge of UN rules and procedures is advantageous.
