Job Purpose

Responsibilities
The Administrative Assistant (G3) plays a crucial role in ensuring the efficient and effective functioning of the World Food Programme's (WFP) operations in Haiti. This position is primarily responsible for supporting the management, control, distribution, and tracking of non-food items (NFIs) and office supplies. Key duties include maintaining accurate inventory records, conducting physical stock counts, and initiating timely replenishment requests. The role also involves assisting with procurement processes, ensuring that received items match purchase orders, and coordinating warehouse storage to maintain safe, secure, and organized conditions.
Furthermore, the Administrative Assistant will process and track supply requests from various units, ensuring prompt distribution and maintaining proper documentation for outgoing stock. They are expected to maintain precise manual and electronic records, prepare regular reports on stock levels and consumption, and support audits by providing necessary documentation. A significant aspect of the role involves ensuring compliance with WFP's administrative, financial, and procurement policies, implementing internal controls to prevent losses, and reporting any irregularities. General administrative support, including contributing to logistical coordination and maintaining filing systems, is also part of the responsibilities. The ultimate goal is to ensure the timely availability and traceability of essential supplies, thereby contributing to the overall operational efficiency and adherence to WFP's standards.
Work Experience
The role requires a minimum of 3 years of relevant experience in administration, stock management, or logistics. Experience with inventory management systems is desirable, and prior work with international organizations or NGOs is considered an advantage.
