Job Purpose
The Logistics Associate - Fund Management will provide specialized support within the WFP Guatemala Supply Chain Unit, focusing on the financial aspects of logistics operations. This role is crucial for ensuring the accurate management of funds, invoicing, and financial controls related to the procurement and delivery of goods and services. The position requires a proactive approach to independently handle inquiries and resolve unforeseen issues, applying standard processes to ensure timely and effective support to both internal units and external partners. The incumbent will contribute to the efficient supply of assistance by managing budget adherence, tracking expenditures, and ensuring compliance with WFP's financial and logistical procedures, ultimately supporting the organization's mission to save and change lives.
Responsibilities
The Logistics Associate (Fund Management and Billing) will support the World Food Programme's (WFP) Supply Chain Unit in Guatemala. This role involves close collaboration with internal WFP units and external suppliers to ensure the accurate management of funds, billing, and financial controls for logistics operations. Key responsibilities include providing specialized support for logistics activities, applying standard processes to facilitate the timely supply of goods and services, and coordinating requests and deliveries. The associate will manage logistics related to supplier contracting, monitor supplier performance, and assist in market information gathering and supplier evaluation. A significant part of the role involves managing and monitoring budgets, ensuring adherence to procedures, and maintaining compliance with institutional standards. The position also requires tracking inventory management processes, supporting data quality for product accounting, and analyzing operational portfolios to inform planning. The associate will handle logistics documentation, resolve operational issues, and conduct research and analysis to produce reports for informed decision-making. Maintaining contact with stakeholders, supervising support staff, and assisting in emergency logistics preparedness are also crucial duties. Specific tasks include preparing monthly budget monitoring reports, managing fund reservations, supporting purchase orders and service entry sheets, ensuring timely invoice submission, and processing/reconciling supplier invoices. The role demands strong skills in supply chain management, project and resource planning, information management, market analysis, contract execution, and warehouse/inventory management, along with effective technical assistance and coordination.
Work Experience
The role requires a minimum of 6 years of relevant experience in logistics and fund management. Experience in maintaining institutional systems, managing supplier contracts, compiling and executing contracts, and budget tracking and reporting is desirable. Familiarity with institutional systems for tracking shipments, supply chain information, insurance claims, and food stocks is also beneficial. A university degree in related fields is a plus.
