Job Purpose
The Logistics Assistant (External Services) G5 will support the implementation and monitoring of logistics services provided to eligible partners. This role is crucial for ensuring the smooth operation of WFP's supply chain in Haiti, particularly within the context of the UN80 reform. The incumbent will act as a key operational point of contact for managing and tracking partner requests for transportation, warehousing, fuel, and customs clearance. This involves ensuring all activities comply with WFP procedures, maintaining accurate documentation, and providing regular updates to partners and supervisors. The position also contributes to data collection for reporting, supports logistical arrangements for meetings and training, and actively identifies and proposes practical solutions to operational challenges, thereby enhancing service delivery and partner satisfaction.
Responsibilities
The Logistics Assistant, under the direct supervision of the Supply Chain Officer - External Services, plays a crucial role in implementing and monitoring logistics services for eligible partners. This position acts as an operational focal point for registering and tracking requests for transportation, warehousing, fuel, customs clearance, and other services, ensuring compliance with WFP procedures and proper documentation. The role contributes to operational efficiency by maintaining traceability of services rendered, preparing necessary administrative documents, and providing regular updates to partners and supervisors. The Assistant also participates in data collection for reporting, supports the logistical organization of meetings and training, and identifies operational challenges to propose practical solutions. Key responsibilities include leading and supporting service delivery to partners, coordinating country-level logistics, and overseeing activities. The role involves close budget monitoring, producing service agreements and invoices, and ensuring daily tracking of services from request to payment. Additionally, the Assistant supports the Service Delivery Manager in reconciling outstanding payments, liaises with the Finance unit, and contributes to monthly and annual reporting, aligning activities with the Country Strategic Plan. Engaging humanitarian stakeholders to identify needs and supporting tailored logistics services are also vital aspects of this role, alongside supervising existing agreements and new partnerships, and leading customer service for the service delivery unit.
Work Experience
Requires a minimum of 5 years of progressive experience in logistics, supply chain, or humanitarian operations. Experience with UN agencies or NGOs is desirable.
