Job Purpose
The Human Resources Assistant G5 will provide essential support to the WFP Regional Office in Cairo, ensuring the delivery of high-quality, client-focused HR services. This role involves assisting with general HR queries, providing guidance and training to junior staff, and coordinating administrative tasks to facilitate efficient HR operations. The incumbent will liaise with other units on HR matters, extract and compile HR data for reporting, and maintain confidential personnel records. Responsibilities also include drafting HR documentation, utilizing HR management systems for data entry and monitoring deadlines, and supporting staff deployment. This position is crucial for enabling WFP to respond effectively to humanitarian needs by ensuring robust HR support.
Responsibilities
The HR Assistant G5 is responsible for delivering high-quality, client-focused HR services for the WFP Regional Office in Cairo. Key responsibilities include providing assistance on general HR queries and ensuring consistent service delivery. The role involves offering guidance and on-the-job training to other staff, fostering their development and enhancing their knowledge of HR systems and procedures. This extends to allocating responsibilities and supporting the learning of junior support staff to ensure effective HR service provision. The assistant will liaise with internal units on HR matters such as payroll and contracts, providing necessary information for timely services. Data management is crucial, involving the extraction and compilation of HR data related to recruitment, contractual conditions, entitlements, performance, and training for analysis and reporting. Administrative support is provided across various HR activities, including the onboarding of new staff members, ensuring compliance with established processes. Maintaining confidential personnel records, HR databases, and archives is essential for accurate data storage and updates. The role also requires drafting diverse HR documentation, such as employment contracts and transfer letters, ensuring accuracy and adherence to deadlines. Utilizing HR management systems for data entry and updates, including monitoring deadlines like contract expirations, is vital for compliance and data accuracy. Finally, the HR Assistant supports staff deployment and associated administrative actions, including report preparation, to facilitate efficient HR services, enabling WFP to respond swiftly to crises.
